{"id":136696,"date":"2020-08-31T16:37:34","date_gmt":"2020-08-31T16:37:34","guid":{"rendered":"https:\/\/ccbtechnology.com\/?p=136696"},"modified":"2025-09-05T10:33:38","modified_gmt":"2025-09-05T16:33:38","slug":"microsoft-teams-experience","status":"publish","type":"post","link":"https:\/\/ccbtechnology.com\/microsoft-teams-experience\/","title":{"rendered":"What We Learned Onboarding Microsoft Teams"},"content":{"rendered":"\n<p>Onboarding\u00a0<a href=\"https:\/\/www.microsoft.com\/en-us\/microsoft-teams\/group-chat-software\" target=\"_blank\" rel=\"noreferrer noopener\">Microsoft Teams<\/a> company-wide was on our project forecast, but\u00a0\u201csafer at home\u201d encouraged us to roll it out much sooner \u2013\u202fand we\u2019re glad we did!\u00a0It brings\u00a0the\u00a0components of Microsoft 365 into a central\u00a0communications\u00a0hub that\u00a0is reasonably intuitive and simple to navigate.\u00a0Check out this\u00a0<a href=\"https:\/\/ccbtechnology.com\/microsoft-teams-introduction\/\" target=\"_blank\" rel=\"noreferrer noopener\">Microsoft Teams introduction<\/a>\u00a0to get a better understanding of all that Teams can do.\u00a0\u00a0<br>\u00a0<br><strong>Here\u2019s what\u00a0you\u2019ll need to know about\u00a0onboarding Microsoft Teams:\u00a0<\/strong><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-create-your-teams\"><strong>Create&nbsp;your&nbsp;teams&nbsp;<\/strong><\/h2>\n\n\n\n<p>Teams are designed to be a virtual place where people can come together, with all the tools they need, to&nbsp;share information&nbsp;or collaborate on&nbsp;a common workstream.&nbsp;You can have as many teams as you&nbsp;need,&nbsp;and individuals can be on multiple teams.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Properly choosing and organizing your teams are key. Our goal was to shift&nbsp;from communicating through&nbsp;email threads \u2013 which can&nbsp;be hard to find or easily broken&nbsp;\u2013 to&nbsp;Microsoft&nbsp;Teams in order to streamline and simplify communication.&nbsp;Having well-structured teams&nbsp;keeps&nbsp;all related information in one place.&nbsp;&nbsp;<\/p>\n\n\n\n<p>At CCB,\u00a0while\u00a0we have a few company-focused teams for\u00a0general announcements,\u00a0most of\u00a0our\u00a0teams are department-based,\u00a0since those are the\u00a0people\u00a0we collaborate with most.\u00a0In\u00a0marketing,\u00a0we have teams\u00a0like\u00a0Email, Blogs,\u00a0and\u00a0Website,\u00a0since they are things we frequently\u00a0work\u00a0on\u00a0together.\u00a0However, we also have a Podcast\u00a0team that crosses departments.\u00a0\u00a0<\/p>\n\n\n\n<p><strong>Pro tip<\/strong>: To avoid teams sprawl, you can set policies in your\u00a0<a href=\"https:\/\/ccbtechnology.com\/asset\/managing-microsoft-teams\/\" target=\"_blank\" rel=\"noreferrer noopener\">Teams administration<\/a>\u00a0to only allow certain people to create and manage teams.\u00a0<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"831\" height=\"437\" src=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image.png\" alt=\"A screenshot of a cell phone\n\nDescription automatically generated\" class=\"wp-image-151413\" srcset=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image.png 831w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-300x158.png 300w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-768x404.png 768w\" sizes=\"auto, (max-width: 831px) 100vw, 831px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-add-channels\"><strong>Add&nbsp;channels&nbsp;<\/strong><\/h2>\n\n\n\n<p>Your teams are meant to be broken down by channels \u2013 these are the specific projects or conversations you\u2019re having around a topic. For example, under our Blog&nbsp;team, I&nbsp;created&nbsp;a channel for this specific article called Onboarding Microsoft Teams. Within that channel&nbsp;I shared&nbsp;my drafts, got feedback from my team,&nbsp;and dropped in&nbsp;images to include.&nbsp;Having everything in one place simplifies the creation process&nbsp;and allows others to see progress and comment as they like.&nbsp;&nbsp;<\/p>\n\n\n\n<p>It\u2019s simple to add a channel to your team by clicking the three dots to the right of your team name and choosing \u201cAdd channel.\u201d You can also set policies for who to include in a channel in case it doesn\u2019t pertain to the entire team.&nbsp;&nbsp;<\/p>\n\n\n\n<p><strong>Pro tip<\/strong>:\u00a0The default \u201cGeneral\u201d channel\u00a0is included in all teams and\u00a0cannot be deleted\u00a0or renamed. It\u2019s used for non-channel-specific announcements and common chat\u00a0among that team.\u00a0\u00a0\u00a0<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-make-the-most-of-your-channels\"><strong>Make the most of your&nbsp;channels&nbsp;<\/strong><\/h2>\n\n\n\n<p>Within each channel is everything you need to work with your team and get your job done.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-add-a-tab\"><strong>Add a tab<\/strong>&nbsp;<\/h3>\n\n\n\n<p>At the top&nbsp;of each channel, you can create tabs for quick access to information that you frequently use. It\u2019s&nbsp;similar to&nbsp;bookmarks on your web browser, but these tabs take you to your files and other team assets.&nbsp;Default tabs are built-in, but you can add others as needed, such&nbsp;as a website you frequent often, YouTube videos, and&nbsp;most document types. When you click on the tab, the content loads right there in Microsoft Teams.&nbsp;&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"321\" height=\"59\" src=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-2.jpg\" alt=\"A picture containing table, knife\n\nDescription automatically generated\" class=\"wp-image-151415\" srcset=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-2.jpg 321w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-2-300x55.jpg 300w\" sizes=\"auto, (max-width: 321px) 100vw, 321px\" \/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-share-store-and-edit-files\"><strong>Share, store and edit files<\/strong><\/h3>\n\n\n\n<p>Within your channels you can collaborate on documents with your entire team in real-time \u2013 just like you would in-person. When you add a file to your channel, it saves to your file tab at the top. You can also create new files from there as well right within your team.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Your team can access these files together&nbsp;within the channel, chat about changes and edit them right away.&nbsp;This provides greatly enhanced efficiency and productivity.&nbsp;If you want the full experience of the native file apps, you can open in Word, Excel, OneNote, etc. and it will update in Teams.&nbsp;<\/p>\n\n\n\n<p>Your teams\u2019&nbsp;files are automatically saved on a&nbsp;SharePoint&nbsp;site, giving you&nbsp;all&nbsp;of&nbsp;the security of&nbsp;Microsoft 365.&nbsp;&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-microsoft-teams-wiki\"><strong>Microsoft&nbsp;<\/strong><strong>Teams&nbsp;<\/strong><strong>W<\/strong><strong>iki<\/strong>&nbsp;<\/h3>\n\n\n\n<p>This&nbsp;has become one of our favorite features&nbsp;since onboarding Microsoft Teams.&nbsp;We use it to&nbsp;share&nbsp;specific procedures, policies, and best practices related to each team. There are many reasons why this is such a handy tool.&nbsp;&nbsp;<\/p>\n\n\n\n<p>You can save&nbsp;details&nbsp;about&nbsp;important&nbsp;processes, which&nbsp;allows others to know how&nbsp;to correctly&nbsp;perform&nbsp;a specific task&nbsp;or&nbsp;helps&nbsp;with&nbsp;training&nbsp;new employees.&nbsp;That&nbsp;stops&nbsp;information&nbsp;from&nbsp;walking out the door&nbsp;when a person&nbsp;leaves.&nbsp;<\/p>\n\n\n\n<p>Some of the things our marketing&nbsp;team&nbsp;uses wiki for&nbsp;are&nbsp;instructions on&nbsp;how to update WordPress, our branding guidelines&nbsp;and image specs,&nbsp;frequently used&nbsp;html codes,&nbsp;and&nbsp;design program processes&nbsp;\u2013&nbsp;to name a&nbsp;few!&nbsp;<\/p>\n\n\n\n<p><strong>Pro tip<\/strong>: Every single channel has a wiki, but you might not want to use them all as it could get confusing.&nbsp;We often use the&nbsp;wiki&nbsp;under&nbsp;&nbsp;the&nbsp;\u201cGeneral\u201d&nbsp;channel&nbsp;for the entire team.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"655\" height=\"234\" src=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-1.jpg\" alt=\"A screenshot of a cell phone\n\nDescription automatically generated\" class=\"wp-image-151414\" srcset=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-1.jpg 655w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-1-300x107.jpg 300w\" sizes=\"auto, (max-width: 655px) 100vw, 655px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-posts-and-chat\"><strong>Posts and Chat&nbsp;<\/strong><\/h2>\n\n\n\n<p>We have&nbsp;teams, we have channels, we have tools \u2013 let the communication begin! There are two ways to message people within&nbsp;Microsoft Teams: posts and chats. They\u2019re&nbsp;fairly similar&nbsp;but location sets them apart.&nbsp;Posts are the&nbsp;chat&nbsp;conversations that happen within&nbsp;a channel, and chats&nbsp;take place outside of&nbsp;your&nbsp;teams.&nbsp;<\/p>\n\n\n\n<p>Chats are great for quick questions&nbsp;to one or more people, Monday morning memes, or communicating with&nbsp;people not in your&nbsp;teams.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Posts are the conversations that take place around the topic of your channel. It\u2019s important to share those messages in the channel so that&nbsp;all details are clearly communicated to team members. If you put it in a chat instead, it&nbsp;becomes unrelated to a specific channel topic and&nbsp;might get lost,&nbsp;slowing&nbsp;your progress&nbsp;and&nbsp;frustrating&nbsp;team members.&nbsp;&nbsp;&nbsp;<\/p>\n\n\n\n<p>What sets posts apart from chats, is that you can have threaded conversations where you can create topics for easier navigation. Back to my blog example:&nbsp;within the channel I&nbsp;might create topics called&nbsp;\u201cFirst draft ready for review\u201d&nbsp;and&nbsp;\u201cImages needed,\u201d&nbsp;where&nbsp;I can work on each&nbsp;item separately&nbsp;with the team members involved.&nbsp;This&nbsp;helps to&nbsp;quickly catch&nbsp;up on conversation topics without having to read posts that are irrelevant to&nbsp;you.&nbsp;<\/p>\n\n\n\n<p><strong>Pro tip<\/strong><strong>:&nbsp;<\/strong>When you&nbsp;create a&nbsp;new post&nbsp;within your channel, give it a headline&nbsp;so it\u2019s easy to keep related details on the same thread. If you\u2019re replying to a conversation, be sure to hit &#8220;reply\u201d instead of starting a new conversation \u2013 it&#8217;s easy to miss.&nbsp;&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"544\" src=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image.jpeg\" alt=\"\" class=\"wp-image-151416\" srcset=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image.jpeg 1024w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-300x159.jpeg 300w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-768x408.jpeg 768w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-938x498.jpeg 938w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p><strong>M<\/strong><strong>essaging&nbsp;<\/strong><strong>features&nbsp;<\/strong><strong>in posts and chats<\/strong><strong>:<\/strong>&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-formatting\"><strong>Formatting<\/strong><\/h3>\n\n\n\n<p>Just like you can do&nbsp;in&nbsp;Microsoft Outlook, in Teams&nbsp;you can add formatting&nbsp;to your messages&nbsp;to highlight important details and make it easier to read. Options include normal styles like bolding and highlighting,&nbsp;to&nbsp;adding tables, links,&nbsp;quotes and more.&nbsp;You can also make announcements&nbsp;in posts&nbsp;to really&nbsp;get&nbsp;your team&#8217;s attention.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"231\" src=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-3.png\" alt=\"A screenshot of a cell phone\n\nDescription automatically generated\" class=\"wp-image-151419\" srcset=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-3.png 1024w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-3-300x68.png 300w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-3-768x173.png 768w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2020\/09\/image-3-938x212.png 938w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-mentions\"><strong>Mentions<\/strong><\/h3>\n\n\n\n<p>With channel&nbsp;posts, you can easily and quickly alert a person or group to your new message by using the&nbsp;\u201c@\u201d&nbsp;symbol. @name&nbsp;reaches&nbsp;a person, @team reaches&nbsp;the whole team, or @channel&nbsp;notifies&nbsp;just those&nbsp;in that specific channel.&nbsp;This comes in handy when you have many teams and communications happening at the same time.&nbsp;&nbsp;&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-mark-as-unread-and-bookmarking\"><strong>Mark as unread and bookmarking<\/strong><\/h3>\n\n\n\n<p>Just like email, you can save a message to come back to them later or mark them as&nbsp;\u201cunread\u201d&nbsp;so you don\u2019t forget to respond. These little features help you keep track&nbsp;of&nbsp;what you need to do.&nbsp;&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-emojis-gifs-stickers-and-read-receipts\"><strong>Emojis, gifs, stickers and read receipts<\/strong><\/h3>\n\n\n\n<p>This&nbsp;mostly&nbsp;sounds fun \u2013 which it is \u2013 but it also can keep&nbsp;things&nbsp;tidy and&nbsp;be a huge time saver. Within both posts and chats, you can use one of six emojis to show how you feel about a message, with the thumbs up being&nbsp;the&nbsp;frequent go-to. If you need to express your feelings further, you can respond with any number of emojis, gifs, stickers or memes.&nbsp;<\/p>\n\n\n\n<p>If&nbsp;someone&nbsp;hasn\u2019t used one of these&nbsp;simple methods to acknowledge your&nbsp;message, you can at least tell if they read&nbsp;it&nbsp;by the little eye icon that appears next to it. These&nbsp;features&nbsp;keep conversations efficient and fun while eliminating back and forth emails to say, \u201cgot it\u201d \u201cthanks\u201d \u201cwill do.\u201d&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"855\" height=\"370\" src=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2017\/03\/emojis.png\" alt=\"Microsoft Teams emojis\" class=\"wp-image-151384\" srcset=\"https:\/\/ccbtechnology.com\/wp-content\/uploads\/2017\/03\/emojis.png 855w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2017\/03\/emojis-300x130.png 300w, https:\/\/ccbtechnology.com\/wp-content\/uploads\/2017\/03\/emojis-768x332.png 768w\" sizes=\"auto, (max-width: 855px) 100vw, 855px\" \/><\/figure>\n\n\n\n<p><strong>Pro tip<\/strong>:&nbsp;We have enough noise and distraction at work, and Microsoft Teams&nbsp;notification settings make it easy to see what\u2019s important and ignore the rest until you have time to review it.&nbsp;&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-virtual-meetings-and-calls\"><strong>Virtual&nbsp;meetings&nbsp;and calls&nbsp;<\/strong><\/h2>\n\n\n\n<p>If&nbsp;messaging&nbsp;just isn\u2019t cutting it and you want to&nbsp;talk it out, you can start a meeting with a team by clicking \u201cmeet now\u201d in the top right corner.
